Faire is a maturing startup with offices in California, Canada, and the United Kingdom. When it came time for their annual leadership planning retreat, they wanted to have a hybrid meeting but admitted they needed some help to pull that off well.

How do we have a partially in-person, partially remote, executive-level planning retreat where technology can disappear and collaboration can truly happen uninhibited? Before the pandemic, having everyone travel across international borders to gather for a meeting like this would be no problem. Expensive for travel costs, expensive for executive’s time used, but certainly doable. During the pandemic, having everyone join from home via Zoom was no problem. Not ideal for collaboration, not terribly engaging or inspiring, but no problem.

By meeting three times over Zoom, Faire’s Executive Assistant to the CEO Caitlin was able to talk through the needs of the event and was able to catch the vision of how things would flow between in-room attendees and remote presenters.

It seems simple enough, start a Zoom call, have remote team members dial in, what’s the worst that could happen? Unfortunately, we’ve all experienced poor sound quality, lack of engagement, not being able to get screen sharing to swap between presenters, all sorts of woes that detract from the energy flow of a collaborative meeting like this. Our small crew of 3 alleviated all of those problems and more, making the technology work correctly the first time, while remaining available for any hands-on troubleshooting.

We share success stories like Faire’s so you can learn what Caitlin learned from her event. It’s not about an arena full of equipment or dozens of crew. Every event matters, regardless of size. With this group, it was about quality, not quantity. Our Production Manager, AVL Tech and Production Assistant were able to fly in, serve this group, and enabled this meeting to happen effectively from across the country. Thanks to Caitlin admitting she needed help, being ok asking questions about what she didn’t know, and ultimately entrusting their big day to us as her chosen professionals.
